Does VaccineInventory work with CDC and Dr. Sears schedules?
Yes. Both the CDC 2025 ACIP-recommended schedule and the Dr. Sears alternative schedule are built directly into the program. You can assign a different schedule to each patient and switch at any time.
How does it handle preterm babies?
When you register a patient born before 38 weeks gestation, VaccineInventory automatically calculates the corrected gestational age and adjusts all vaccine due dates. No manual math required.
Does it actually send emails to parents?
Yes. When you enter a parent email at registration, VaccineInventory sends reminders 14 days and 3 days before each vaccine is due. You configure the send-from address, timing, and signature in Settings. Requires Practice Starter or Pro.
Where is patient data stored? Is it HIPAA compliant?
All patient data is stored locally on your office computer. Nothing is sent to any cloud server in normal operation. This significantly simplifies HIPAA compliance since patient information never leaves your building. One-click backup lets you save to an external drive or network location.
How does the recall registry work?
Enter a recalled lot number and VaccineInventory cross-references your entire administered vaccine log to identify every patient who received that lot. It generates a contact list with names, phone numbers, and emails for immediate family notification.
Can I enter patients who already have some vaccines?
Yes. When registering an established patient who transferred from another practice, mark them as “established” then check off vaccines already received. VaccineInventory builds the remaining catch-up schedule automatically.
What happens when I hit the free trial limit?
When you reach 100 vaccine logs, the program prompts you to upgrade. Purchase a plan above, receive your license key by email, enter it in the Membership section, and continue without interruption. All your data is preserved.
Can I update the vaccine schedule each year myself?
Yes. The vaccine schedule is stored as a plain JSON file you can edit in any text editor. When ACIP updates the schedule annually, edit the file and drop it in the program folder. No software update needed.
